Running a Meet with Gymetra

This guide explains the typical workflow used to run a gymnastics competition using Gymetra.

1. Create the Meet

Start by entering the basic information for the competition.

• Enter meet name
• Enter location
• Set date and time
Note: The meet name is also used to generate the public results link. This name will appear in the advertising/public results URL, so choose a clear and appropriate name.

2. Federation Setup

Before continuing, select the federation type for your meet.

• Select Federation Type
• After selecting a federation, additional options will appear
• Add Judges (based on federation rules)
• Add Coaches
• Enter required federation-specific information
Tip: After entering the meet name and date you can use the lock icon 🔒 to lock these fields and prevent accidental changes. Tap the question mark icon ❓ to open contextual help explaining the current screen.
Save or Open a Project

• Save the meet project
• Open an existing project
• Continue editing meet information later

3. Connect Judge Devices

Before assigning judges, make sure every iPad is connected to the same Wi-Fi network as the host Mac. When the Gymetra app opens, each iPad automatically displays a unique 3-character device code. That same code will appear on the host computer, making it easy to identify the correct device before assigning a judge.

• Connect all judge iPads to the same Wi-Fi as the host Mac
• Open Gymetra on each iPad
• Note the 3-character device code shown on each judge screen
• Verify the same code appears on the host device list
• Match each iPad to the correct judge using the device code
• Assign the judge and apparatus from the host Mac
Tip: You can right-click any connected device on the host to rename it.

4.Assign Judges

If the meet belongs to a federation, select the federation and assign judges to each apparatus.

• Select federation (if applicable)
• Assign judges to apparatus
• Verify judge assignments
Tip: Filters can help locate judges quickly when assigning them.

5. Add or Import Athletes

Athletes can be entered into the meet in different ways.

• Import athletes from a file
• Enter athletes manually
• Review athlete information

6. Assign Gymnasts to Events or Groups

After athletes are added they can be assigned to events or organized into rotation groups.

• Assign gymnast to apparatus
• Create rotation groups
• Adjust athlete order
Tip: Filters can help locate athletes faster when assigning them to events.

7. Print Meet Documents

Before starting the meet you can generate documents for judges and staff.

• Print labels
• Print attendance list
• Print score sheets

8. Create and Confirm the Session

When all meet information has been entered, create the competition session.

• Create session
• Confirm session details
• Activate session

9. Prepare the Workspace

Before starting the meet, Gymetra allows the host to prepare the workspace for maximum visibility and efficiency.

• Use the expand buttons in Setup or Meet Control
• Increase space for judges, athletes, or scoring panels
• Focus on the most important active section
Tip: Expanded panels are useful during live competitions when you need extra space for Meet Control or Judges.

10. Open the Scoreboard Display

Before the meet begins, you can prepare the live scoreboard display for external screens, TVs, or arena monitors.

• Open display from Meet Control
• Or go to Window → Scoreboard
• Move the scoreboard to a second screen if needed
Tip: This is useful for audience display, coaches, and live ranking projection.

11. Configure Meet Settings

Gymetra allows visual and operational customization before the competition starts.

• Change Gymetra Studio background color
• Update meet logos or branding
• Choose full meet logs or single session logs
You can verify the current network connection by checking the host IP address displayed in Gymetra

12. Start the Meet

Once the session is activated the competition can begin.

• Start meet timer
• Start warm-up timer
• Judges begin scoring routines

13. Results

As judges enter scores the results update automatically.

• Scores synchronize in real time
• Rankings update automatically
• Results can be broadcast live

Gymetra keeps the entire meet organized and synchronized from setup to final results.
